The system automatically ingests incoming invoices—typically received as email attachments—scrapes their contents using advanced document intelligence, and extracts key financial and contractual details with high accuracy. The AI engine reconciles these extracted details against existing POs, contracts, rate cards, and prior invoices, identifying quantity mismatches, pricing discrepancies, missing approvals, and other anomalies that would otherwise stall or invalidate the AP workflow.
Once an invoice has been validated, the automation framework posts the structured financial data directly into QuickBooks, ensuring accurate ledger entries and seamless alignment with existing accounting processes. Simultaneously, the entire invoice package—including the original document, its extracted data, validation results, and associated PO/contract references—is automatically stored in SharePoint, creating a secure, searchable digital audit trail. Users receive Adaptive Card notifications in Microsoft Teams summarizing the invoice details, highlighting any exceptions, and presenting recommended next steps—such as approving, disputing, escalating, or requesting further documentation. This eliminates manual data entry, accelerates invoice cycles, and vastly improves financial governance.
T2M Works further enhances the workflow by enabling users to interrogate invoices, financial histories, and document relationships using Carl, the organization’s NLP-powered data interrogator. Carl can answer questions such as, “Does this invoice match the PO?”, “Has this vendor exceeded contract limits?”, “Show me all discrepancies this quarter,” or “Summarize unpaid invoices from this supplier.” This gives AP teams, managers, and auditors instant, conversational access to financial intelligence without navigating systems or spreadsheets.
